Collecting documents for 'family reunification for asylum seekers (post-travel)' and having them translated

When applying for family reunification, you must send evidence to the Immigration and Naturalisation Service (IND). These are mainly documents that show the identity of your family member. And that make the family relationship between you and your family member likely.

On the

website there is an overview of the documents that you need to send along with the application. Does your family member not have any documents? If not, you must explain this with your application.

Please note: only send copies of the documents with your application. When the IND has received your application, you will receive a letter (the confirmation of receipt). This letter includes an attachment that you must use to send the original documents the IND is asking for. The IND will then assess these original documents that prove the family relationship. So never send original documents to the IND at the time of application. But wait for the letter requesting the original documents. Read more below under the heading 'ontvangstbevestiging' (confirmation of receipt).

Document declaring that you are the referent

The IND wants you to officially declare that you are the sponsor. This means that you are the applicant for the post-travel family reunification who wants the family member to come to the Netherlands. Print this 'Bijlage verklaring referent (familie en gezin)

' (appendix declaration of referent (family and relatives), fill it in and sign it.

Submitting personal documents for family reunification

The IND will ask for personal documents with your application for family reunification. You must submit the following documents for you or your family member:

1. A recent passport photo of your family member

A recent passport photo of your family member. If your family member does not have a passport photo, you can submit another clear photo of their face.

2. A copy of your family member’s ID

A copy of the front and back of your family member's ID. Preferably a passport. Upload the pages of the proof of identity showing the information about the identity and validity of the proof of identity. Also submit copies of the pages with travel stamps.

3. The 'Signature upload' form

A fully completed 'Signature upload'

from yourself. This form is needed only when applying digitally for an authorisation of provision residence (mvv). You need to print this form, sign it yourself and then take a picture of it. You can then upload that photo with the digital mvv application. If you apply for post-travel family reunification with the written form, this form is not necessary. You already sign the written application form yourself.

4. The background statement

The fully completed and signed

. This is a statement stating your family member has not committed any criminal offenses. Your family member must fill out this form personally, print it, sign it and then send it back to you. This can be done digitally or by post. A background check is only required if your family member is 12 years old or older.

5. The declaration of marital status

The fully completed and signed 'verklaring burgerlijke staat

' (declaration of marital status). This is a declaration that states your family member's marital status. And whether they have been in a steady relationship for an extended period of time. Your family member must fill out this declaration online themselves, print and sign it and then send it back to you. Return it digitally or by post. This declaration is needed from any family member who is 15 years of age or older. This declaration is not needed for your own husband or wife.

6. Have forms signed

The forms that your family members need to sign can be sent to your family members via email or WhatsApp. They must then print, sign and return these forms (for example, with a photo/scan via WhatsApp or email).

You must also prove that you have a family relationship with your family members. This can be done with the following documents:

1. For your husband/wife:

  • A copy of the legal marriage certificate or a copy of another proof (family record) showing marriage.

  • A copy of the religious/traditional marriage certificate or a copy of another proof (family record) showing this marriage.

  • A copy of evidence showing that the religious/traditional marriage is registered in your partner's country of origin (this can only be done if this registration is customary in the country in which you are married).

  • A fully completed appendix ’Questionnaire for (married) partner post-travel

    .’

2. For your parent(s):

  • A copy of your birth certificate or a copy of another proof showing the family relationship with your parent(s). For example, a family record book.

  • A copy of proof showing who your guardian in the Netherlands is (for example, your contact at Nidos).

  • A fully completed and signed appendix ’Request for DNA testing for family reunification

    ’.

3. For your biological child(ren) under the age of 18:

Please note: So, for now, please send only copies of all the documents you need to include with your application. Do not send the originals. The IND will ask you for the original documents at a later date, except for your family members’ passports or other forms of identification.

Translate the documents into Dutch, English, French or German

All documents you submit must be written in Dutch, English, German or French.

Are the documents written in another language? If so, you must have the paper or digital (scan or photo) documents translated in the Netherlands by a sworn translator. A translation from outside the Netherlands is therefore not valid.

The translators you can choose from can be found in the ’Register beëdigde tolken en vertalers' (Rbtv)

You can specify from which language your document must be translated into Dutch. And you can search for a translator near you. You will see the name, email address and phone number of the translators you can contact.

It is useful to ask the translator first what the translations cost. This way you know what amount you need to take into account.
